10 Common Reasons For Submitting An IT Helpdesk Request
Here at Magikos IT we thought it might be helpful to cover some of the most common reasons why customers submit IT Helpdesk requests and outline some of the steps we recommend to try and resolve them. Whilst these issues are common, it does not diminish their importance and we understand that they often cause frustration, inconvenience and downtime for our customers. Additionally, problems that appear to be relatively simple can quickly escalate into a major organisational crisis. For these reasons, we thought that highlighting some of these common issues might raise awareness and help our customers be proactive about preventing these issues in the first place.
Issue 2: Missing Files
Few moments in the digital workplace trigger an immediate spike in adrenaline like clicking into a folder only to realise a critical file has apparently vanished. Whether it’s an accidentally deleted spreadsheet, a corrupted document, or a care plan that seems to have dissolved into the ether, data loss is a high-stakes emergency that can bring daily operations to a sudden, grinding halt.
The disappearance of a document is rarely an isolated incident. It triggers a cascade of costly consequences that impact an organisation on a variety of levels:
- Operational Paralysis: When critical documents vanish, work stops. Staff spend hours, sometimes days, desperately trying to find the missing files or scrambling to recreate lost records, stalling current projects and severely damaging productivity.
- Regulatory and Legal Fallout: For compliance-heavy environments like social care or legal practices, missing data can be an explicit violation of data protection laws like GDPR. Losing an individual’s medical records or financial history can trigger massive regulatory audits and heavy fines.

What Should I Do?
The golden rule before taking any action is ‘don’t panic!’ The files are not necessarily lost, they may be hiding somewhere else in the file structure. If not, there are still ways that data can be recovered, provided a few simple steps are followed.
1. Check the Bin and Local Trash:
Before assuming the worst, check your system’s Recycle Bin or Trash folder. If the file was simply dragged or deleted by accident, you can right-click it and select “Restore” to put it back in its original location.
2. Search Other Folders:
It’s possible that the files may have been accidentally saved to the wrong place or someone else who has access to the file may have moved it. Use the file name (if known) or key words within the document to run a system wide search.
3. Make use of Cloud Version History:
If you use cloud platforms like Microsoft 365 (OneDrive/SharePoint) or Google Workspace, look for Version History. Right-click the file or folder on the cloud web portal. These platforms log edits and partial deletions, allowing you to restore an older, uncorrupted version from earlier in the day.
4. Contact your IT Provider:
If all else fails, your IT provider may be able to recover files from an automated backup if your organisation has one in place. If not, you should seriously consider talking to Magikos IT about implementing one!
